Most people don’t start thinking about assisted living until they have to, and by that point, the conversation is often already emotional, complicated, and moving faster than expected.
That’s where Kaylynn Bates, LMSW, comes in. She’s a continuing care coordinator at the Johnson County senior living community.
At Santa Marta, Kaylynn’s role goes beyond coordinating tours or answering questions. She helps families slow down, sort through what they actually need, and figure out what makes sense before any decisions are made.

Before coming to Santa Marta, Kaylynn spent years working as a social worker in long-term care and skilled nursing settings. She has experience sitting with families during some of the most difficult moments:
Those experiences shaped how she approaches her work today.
“I’ve had hundreds of conversations with families who felt blindsided by how fast things moved,” she explains. “Or who didn’t fully understand what they were agreeing to in the moment.”
It’s why she believes the process should look different.
There’s no typical day in Kaylynn’s role.
Some days, she’s meeting with families who are just starting to explore options. Other days, she’s following up with someone in the middle of a decision. Sometimes, she’s at the hospital visiting a Santa Marta resident who was admitted unexpectedly, so they’re not navigating that moment alone.
Her work spans:
One pattern Kaylynn sees over and over again:
“They’ve done the research. They’re ready to move forward,” she says. “But their loved one may not be there yet.”
That disconnect can delay decisions, create tension, or stop the process entirely, and it’s not because the decision is wrong. It’s because the decision doesn’t feel shared.
Kaylynn starts her conversations with questions. Her goal is to help families get clear on what they actually need and then determine whether Santa Marta is the right fit. That might sound simple, but it’s not how most people experience this process.
“Families come in with a lot of fear and guilt and grief, sometimes all at once,” she said. “None of that gets resolved by researching online or reading a brochure.”
Instead of rushing toward a decision, she focuses on making sure people feel informed enough to make one.
Most conversations start in a similar way:
That third question is often the hardest.
“It’s not about convincing anyone of anything,” Kaylynn explains. “It’s about meeting people where they are and having an honest conversation.”
One of the things that stands out most to families is something practical:
Many assisted living communities charge based on levels of care, meaning monthly costs increase over time. At Santa Marta, it’s different. The monthly rate stays the same, regardless of how care needs change. For families trying to plan ahead, that predictability removes a major source of uncertainty.
“It takes one big question off the table,” Kaylynn says.
Another part of Kaylynn’s role that families don’t always expect is what happens after someone moves in. She stays connected.
It’s a level of continuity that isn’t always present in other communities, and one that makes a meaningful difference to Santa Marta residents and their families.
Planning early can help make retirement easier. If there’s one thing Kaylynn would tell families early in the process, it’s this:
“Start before you think you need to. The conversations are so much easier when there’s no crisis driving them,” she says.
That gives everyone more time to:
